Getting Real About Who You're Really Talking To

Let's face it: most business coaches and consultants are basically performing séances with their marketing. They're trying to talk to people we can't actually see or define.

Think back to a time when it was late night. You're staring at a blank Instagram caption box or an empty email draft. You've been stuck for 45 minutes. The cursor blinks accusingly. You type something, delete it. Type again, delete again. Eventually, you put together something "good enough" and hit publish with a sigh of relief rather than excitement.

The next day? Crickets. 

If this cycle is your regular marketing routine, here's the truth: You're suffering from what I call Phantom Audience Syndrome. You're creating content for people you think exist but haven't properly defined.

When I ask most service providers about their ideal clients, they confidently respond with something like:

"Female entrepreneurs, 35-50, who want to grow their business."

Then I ask them to tell me about these women's specific fears around business growth. Or what these women Google at 11 PM when they're feeling overwhelmed. Or what specifically makes them hesitate before investing in services like yours.

Suddenly, that confidence fades.

And here's why this matters: when you're speaking to everyone, you're connecting with no one.

This fuzzy audience definition is quietly undermining your marketing efforts in ways you might not realize:

  • You're spending hours creating content that doesn't resonate
  • You're using up consultation time with people who were never going to buy
  • You're developing offers that don't precisely address real pain points
  • You're draining your creative energy trying to be all things to all people

About two years ago, while struggling with my own marketing strategy, I stumbled upon a surprisingly effective approach to creating detailed client profiles using AI prompts. Like many discoveries, it happened almost by accident.

I was playing around with AI tools for content creation when a thought hit me: "Wait a minute. These tools are designed to recognize patterns and generate insights. What if I used them to help me understand my ideal clients better?"

Using a carefully crafted prompt, I generated three detailed client profiles that showed me things I'd never consciously put into words before:

  • The exact language my ideal clients use when describing their problems
  • Their hidden objections to hiring someone like me
  • What truly drives their decision-making process
  • The specific challenges keeping them up at night

When I began creating my marketing with these specific people in mind, everything improved. My content engagement went up by 68%. My consultation booking rate nearly doubled. And most importantly, the quality of those consultations got much better (no more time-wasters or price shoppers).

 

The 20-Minute Profile Revolution

The beauty of this approach is how simple and quick it is. In the time it takes to watch a sitcom episode, you can develop detailed client profiles that make your marketing much more effective.

Here's the exact prompt I use:

Act as a senior brand strategist experienced in creating detailed client personas for service-based businesses. Based on the information I provide below, create three distinct client personas. Each persona should have the following clearly labeled sections:

Name (use format: Client A: [Name], etc.)
Demographics (age, gender, location, income, job title/industry)
Psychographics (values, interests, lifestyle, personality traits)
Challenges (pain points related to the service)
Goals (both personal and business goals if relevant)
Objections (reasons they hesitate to work with someone like me)
What They're Looking For (key decision factors when hiring)
Search Keywords (exact phrases they'd likely Google)
What's Stopping Them From Booking (specific doubts, objections)
How to Overcome That (language or messaging strategies to use)

My Business Details:

Type of business: [Insert here]
Specific services offered: [Insert here]
Best clients in the past were: [Insert here]
Typical price range: [Insert here]
Unique value proposition: [Insert here]

First, analyze the common themes across my best clients. Then, generate the three personas in the format above.

Simply fill in your business details and paste this into ChatGPT or your AI tool of choice. What comes back will likely surprise you with its depth and accuracy.

Beyond Basic Demographics: The Power of Fully-Realized Profiles

What makes this approach so powerful is that it goes far beyond basic demographics to create genuinely well-rounded profiles. When you use AI to help develop client profiles, you're not just getting surface-level information.

Consider the difference:

Basic demographic profile: "Female entrepreneur, 42, married with kids, household income $150K+"

Fully-realized AI-generated profile: "Sarah, 42, built her consulting business while raising two teenagers. Values work-life integration and authentic marketing. Fears scaling will mean sacrificing client results. Searches for 'systems for service business growth' at night after family is asleep. Hesitates to invest because previous business coach oversold and underdelivered. Responds to transparent case studies and flexible engagement options."

From Profile to Real Results: Practical Applications

Once you have your detailed profiles, here's how to put them to work immediately:

  1. Improve Your Content Strategy Instead of creating generic content about "business growth," you might create a piece specifically addressing Sarah's fear that scaling means sacrificing quality. Your headline might be: "How to Scale Your Consulting Business Without Sacrificing the Personal Touch Clients Love." When you use AI to clarify your marketing, your content instantly becomes more targeted and resonant.
  2. Adjust Your Service Offerings Your profiles might reveal that one segment of your ideal audience struggles with implementing the strategies you teach. This could inspire a new implementation support package or accountability program.
  3. Improve Your Sales Process If your profiles reveal that "Sarah" needs to see specific results before committing, you might develop a case study document highlighting client improvements that specifically address her concerns.
  4. Create More Effective Marketing Language When you know the exact phrases your ideal clients search for, you can incorporate those keywords into your website, social profiles, and content – improving both searchability and connection.

 

Taking It Further: Data-Driven Profiles

While AI-generated profiles provide exceptional value, you can make them even better by incorporating real data.

Some client management platforms now offer AI features that analyze your existing client base to create even more accurate profiles. These tools can:

  • Identify patterns across your most successful client relationships
  • Analyze common characteristics of clients with the highest lifetime value
  • Reveal hidden connections between client types and service preferences

This data-backed approach ensures your profiles aren't just educated guesses but are grounded in actual client behavior and results.

 

The Moment of Truth: A 7-Day Challenge

Here's my challenge to you: Spend 20 minutes using the prompt above to generate your three client profiles. Save them somewhere you can easily access.

For the next seven days, before creating any marketing content, ask yourself: "Which profile am I speaking to today?"

Then craft your message specifically for that person – their needs, their language, their objections.

Watch what happens to your engagement, your consultation bookings, and most importantly, the quality of prospects entering your world.
